This document describes the supplementary information and restrictions for using DocuShare 7.0.0 (including DocuShare Express, DocuShare, DocuShare CPX and DocuShare Education).

Please visit our home page for the latest product information.

Some of the functions in this product are different from those in the DocuShare provided by Xerox Corporation in the United States.

 1 Overview of DocuShare

1-1 DocuShare

DocuShare is a web-based document management and application software that enables the utilization of your information asset.

1-2 DocuShare Product Package and Functions

The functions that can be used vary depending on the product package you purchased.

*1: SQL Server Express of DocuShare Express has the following restrictions.

• You can only use it in the following environment:
  • Database: Microsoft SQL Server 2014, Express Edition

 2 Installation

2-1 Operation Environment

The following system requirements are needed to use this software.

* Actual system requirements may vary depending on the system configuration and software / functions that are used. As it may take time for the system to process operations depending on the operating environment, it may be necessary to upgrade hardware to improve performance.
* OS supports Japanese and English versions only.
* If Internet Information Service 7.5/8.5/10.0 is being used, all [Web Server] components other than [WebDAV Publishing], [FTP Server] or [HTTP Errors] must be installed beforehand.

The following databases and LDAP server software are supported. The operation environment of the database is compliant to the operation requirements of the corresponding databases.

* Microsoft SQL Server supports Japanese and English versions only.
* There is a restriction of a maximum database capacity for Microsoft SQL Server Express Edition. Refer to the chapter on "Cautions and Restrictions" for DocuShare specifications relating to the maximum database capacity.
* If Microsoft Windows Server 2012 R2 is being used, Oracle version of 12.1.0.2 (12c release 1) or later, or 11.2.0.4 or later is supported.

The target client environments are the following combinations of web browser and client OS.

*3: If Microsoft Internet Explorer is used, disable the Compatibility View feature.
* Windows of the client OS supports Japanese and English versions only.
* The client OS (Windows) supports both 32-bit and 64-bit versions.
* 32-bit and 64-bit Web browsers are supported.
* The supported hardware for iOS is limited to iPad 2, iPad 3rd generation, iPad 4th generation, iPad 5th generation, iPad mini, iPad mini 2 (iPad mini Retina), iPad mini 3, iPad mini 4, iPad Air, iPad Air 2, 9.7-inch iPad Pro, 10.5-inch iPad Pro, 12.9-inch iPad Pro, 12.9-inch iPad Pro 2, iPhone 4S, iPhone 5, iPhone 5c, iPhone 5s, iPhone 6, iPhone 6 Plus, iPhone 6s、iPhone 6s Plus, iPhone SE, iPhone 7, iPhone 7 Plus, iPhone 8, iPhone 8 Plus, and iPhone X.
* The layout may fall apart when iOS is used.
* iOS connections have the following restrictions.

• Documents cannot be uploaded.
• Displaying and saving documents depends on the functions of the supported application.

The target WebDAV client environments are as follows.

• When the client OS is Mac
  • Mac OS X 10.10

  You can browse the file in PDF format from the "Help > Documentation" page. It provides explanation on how to set up and use the quick search function.

  You can browse the file in PDF format from the "Help > Documentation" page. It provides explanation on how to set up and use the Lifecycle Manager.

  You can browse the file in PDF format from the "Help > Training" page. It is an online training to help you start using DocuShare basic functions.

  After logging in as a DocuShare administrator, you can browse the file in PDF format from the "Help > Training" page. It is an online training on administrator functions.

  After logging in as a DocuShare administrator, you can browse the file in PDF format from the "Help > Developer Tools" page. It provides explanation on how to use the DocuShare Command Line Utilities.

  After logging in as a DocuShare administrator, you can browse the file in PDF format from the "Help > Developer Tools" page. It provides explanation on how to use the DSUpload tool.

3-2 Precautionary Items in the Manuals

We do not guarantee the operation of the following functions that are mentioned in the DocuShare manuals. Please note that Fuji Xerox is unable to handle inquiries on these unsupported functions.

• User Tutorial: Online meeting

In this product, we do not provide the following functions that are mentioned in the DocuShare manuals. Please note that Fuji Xerox is unable to handle inquiries on these functions.

• Administrator Guide: Language pack

We do not guarantee the following procedure mentioned in the DocuShare manuals. Please note that Fuji Xerox is unable to handle inquiries on this procedure.

• Installation Guide: Apache Web Server

The information in the installation guide regarding the operation environments (system requirements) is not the latest. Please refer to this document, Release Notes or Fuji Xerox home page for details on operation environments.

The VDF Reference Guide mentioned in the Administrator Guide and Installation Guide is not bundled with this product.

 4 Cautions and Restrictions

4-1 Precautionary Items

The following describes the main precautionary items.

• DocuShare Maintenance

  When changing objects, the statistics information for the database may become old and the index or data may be fragmented, causing the database performance to slow down. As the DocuShare performance may degrade if the database performance deteriorates, please perform maintenance for the database regularly. For the maintenance method for each database, refer to the manual of the respective database.

  When changing objects, the update speed of the search index will decrease and may cause the process speed of operations associated with the search index to slow down. To improve the update speed of the search index, execute the dsindex max_clean command regularly.

• Building Search Index

  During the operation, run repairIndex regularly and rebuild an index for the object for which the search index has not been built. For details on the repairIndex command, refer to the Readme file inside the utilities included in the installation media.

  When building the search index, follow the procedure described in "Quick Installation Guide".

  The time to build the index depends on the number of uploaded documents and the contents.

• Time synchronization when starting DocuShare

  If the time in the System Clock of the server changes when starting DocuShare, DocuShare may not work correctly. Do not set the time or perform time synchronization when starting DocuShare.

• How to Stop DocuShare

  You must use "stop_docushare" command to stop DocuShare. Depending on the Windows Service, when you stop the DocuShare, it may not shut down successfully. For details on how to stop, refer to "Quick Installation Guide". Also, it takes time for DocuShare to stop after executing the command. Verify that the following processes do not exist to confirm that DocuShare has stopped.

  To stop the OS where DocuShare is running, you must stop DocuShare first.

• Operating Numerous Objects

  The background processing occurring after a batch operation is run for numerous objects may take time. The actual time it takes depends on the operation, database type and computer specifications but a rough estimate is 1 to 2 hours for 10,000 documents.

  If a search index is built for objects, DocuShare will give priority to the search index build process and will temporarily not be able to receive uploads and WebUI access requests from client software. For this reason, execute operations on numerous objects during off peak hours.
  Operations which may cause a search index build for objects include location change, permission change, delete, owner change for general users and restore from the Recycle Bin, update object properties, and delete user for administrators.

• Restrictions for IIS 7.5/8.5/10.0

  The default maximum size of the file to be uploaded is about 30MB for IIS 7.5/8.5/10.0. To upload a file larger than this size, you will need to change the maximum size. For details, refer to "Quick Installation Guide".

• The data size limit of SQL Server Express

  SQL Server Express has the data limit. If the data size reaches the limit, DocuShare does not work well. You should check the data size of SQL Server Express periodically and upgrade to the edition such as Standard Edition which has no limit.
  DocuShare has the following functions related to the limit.

  • If the data size of SQL Server Express reaches 95% of the limit, the notification mail is sent to DocuShare administrator.
  • If the data size of SQL Server Express reaches 97% of the limit, DocuShare turns Read Only mode automatically.

• Add Menu Objects

  This feature only prevent in Web UI. It does not prevent other ways of adding objects to restricted collections using actions such as "Move", "Cut", "Paste", "WebDAV", "Email Agent", "Optional Products", "SDK", "Command Line Utilities", and so forth.

• Recommended Number of Objects in Collection

  The recommended number of objects to store in one collection is 100 when thumbnails of documents are displayed, and 1000 when thumbnails of documents are not displayed.

  • The search / abstract / HTML display / thumbnail display operations are not guaranteed for the attached document in the eml or msg format, but the contents may be included in the abstract.
  
  
  
  • HTML renditions may not display properly depending on the file.
  
  
  
  • Search and abstract results may not display depending on the file.
  
  
  
  • For office documents that contain IRM (Information Rights Management), the IRM is indexed and the body text will not applicable towards the index creation.
  
  
  

• Searchable Language

  Searchable languages are Japanese and English.

• How to Determine MIME Type

  When [Switch to file extension algorithm] is displayed in [MIME Type Assignment Method] of [Administration Menu > Site Management > MIME Types] (when the algorithm is set to the file contents algorithm), it is recommended to change the algorithm to the file extension algorithm. The use of the file contents algorithm may consume system resources and affect the performance.

• Anti-virus Software Settings

  Depending on the contents of the documents you use, the system data relating to DocuShare index may be similar to the patterns of invalid programs. In this case, as the anti-virus software will remove or move the system data relating to DocuShare index depending on the anti-virus software settings, correct search results may not be obtained when using the DocuShare search function.

  When this happens, you can obtain the correct search results by excluding the "IDOLServer" folder and its contents in the DocuShare installation directory from the anti-virus software scan target, and then rebuilding the index.

  You can also avoid the occurrence of this problem by excluding the "IDOLServer" folder and its contents in the DocuShare installation directory from the scan target at the anti-virus software settings.

  Due to settings of the anti-virus software, the connection from DocuShare to the SMTP server may be blocked and email notifications may not be sent. This problem can be avoided by adding the following items to the [Processes to exclude] column in [Edit] when [Prevent mass mailing worms from sending mail] is selected for the port to be blocked by accessing [VirusScan Console] > [Access Protection] > [Antivirus Standard Protection] for VirusScan Enterprise 8.7.0i. You may need to restart the OS for the settings to be reflected.

• Version Upgrade

  The left pane in the [Administration Menu] may not be displayed after the version upgrade. If this problem occurs, perform the following preventive measure.

  1. Copy <DocuShare installation directory>\tomcat\work\Catalina\localhost\docushare\org\apache\jsp\jsp\admin.
  2. Delete all the subordinate folders and files under <DocuShare installation directory>\tomcat\work\Catalina\localhost\docushare\org\apache\jsp\jsp\admin folder.
  3. Access the Administrator page.

  After upgrading, make sure to run resetIndexes. If it is not run, the response capability of DocuShare may slow down.

  After installing the update, the Content Map and usage of the Show All button are disabled and will need to be re-enabled, as needed. If you are an administrator, you can enable the features on the Site Configuration page in the Administration UI.

  When upgrading the version to DocuShare 7, check that the server root is only in small letters. Otherwise, DocuShare will not restart.

• Themes

  DocuShare 7 provides new themes, or color schemes, for the site. After upgrading, the themes in the previous release are no longer available. If users had selected a theme, they are assigned the new default theme in DocuShare 7. Space cannot be displayed properly if a theme other than default is set. Set the theme again in Administration Menu > Site Management > Space page.

• Installer

  The multiple language choices show on the installer, but the supported language of the installer is only the following.

  • Japanese
  • English

• Functions where the Operations are not Guaranteed

  We do not guarantee the operation of the following functions. Please note that Fuji Xerox is unable to handle inquiries on these unsupported functions.

  • Online meeting
  • Administrator settings related to [DocuShare Image Manager] of [Imaging Subsystem] under [Content Intake], and Image Manager
  • [Scan System] under [Content Intake]
  • [eForms] under [Content Intake]
  • Creation of XDB (XML rendition)
  • [DocuShare Restrictions] of the user level

• Provision of Encryption Function

  The SSL connection function of LDAP and mail encryption function of Email Agent are not provided in the People's Republic of China.

• Email Agent

  Email Agent does not support encrypted email messages.

• SSL Connection

  Authentication using client certificate is not guaranteed to work.

• Client Environment that can Browse DocuWorks Ver. 7 Documents

  A document cannot be opened if DocuWorks 7.0 (or later) is not installed in the client when it is saved as Ver.7 using DocuWorks 7.0 (or later).

• Browsing Office Documents

  It may take some time to open Office documents through Internet Explorer on a client computer with WebClient service enabled. This may be improved by stopping the WebClient service. Stop WebClient services with the following procedure.

  1. Open "Administrative Tools" > "Services" on the client computer.
  2. Right click on the WebClient services and click "Stop".
  3. Set Startup type to "Disabled" and click "Apply".
     * If it is set to "Manual", the service may be started when accessing the Office document on Web server even if that service has been stopped. Set it to "Disabled".

• PDF Conversion

  Strict Open XML format of Office is not supported.

  PDF may not be converted correctly depending on the file.

• Web Browser Settings

  If cookies are disabled, problems such as unable to login may occur.

  If you use a filter control when using a proxy server, you may not be able to upload file to the DocuShare server.

• Starting and Stopping by "start_docushare" Command

  If you close the executed Command Prompt when the server is started by executing "start_docushare" from the command line, some operations will not work correctly. When starting DocuShare, do not close the Command Prompt that executed the start command. Also, if you want to execute another command while starting DocuShare, open up a new Command Prompt. When the server stops, check that the server is completely stopped first and then close any Command Prompt used for the start command.

• Uploading Data by "dsimport" Command

  Data output at the "dsexport" command cannot be registered at the "dsimport" command as the DocuShare maintenance version is different.

• Scan Feature Settings

  Please disable the following function that is mentioned in the DocuShare Administrator Guide when you use Fuji Xerox multi-function devices.

  • XST (Xerox Scan Template)

• Handle of Version and Rendition

  The version handle of the document with only one rendition and the document whose attribute of the version has not changed after it is created is not "version-<number>" but "v_<document handle>". Also, the rendition handle is not "rendition-<number>" but "r_<document handle>".

  When accessing the URL of the Web UI that uses "v_<document handle>" and "r_<document handle>", the rendition and version of the representative version are displayed.

• SMTP Server

  SMTP authentication and POP before SMTP are not supported.

• Auto login

  DocuShare Options do not support the auto login feature.

• WebDAV

  You can add the version by editing Office documents (Word, Excel, PowerPoint).

  To access space, specify <DocuShare server URL> + "/space/" + space name + "/webdav".

  Example: http://pc1.example.com/docushare/space/salesSpace/webdav

  When authenticating the WebDAV connection, enter the information of the DocuShare user to be logged in.

  • For internal domain: Input the username and password.
  • For external user: Specify <domain name\username> for user name and enter the password.

  When accessing as a user who is different from the user during the creation of the Web folder, you have to delete cookie.

  In the WebDAV connection, information of DocuShare that can be referred to, such as the attribute value and version number are restricted.

  If you install "WebDAV Publishing" module of IIS on Windows 2012 R2, then you cannot access over WebDAV. Please uninstall "WebDAV Publishing" from IIS. Following is detail on how to uninstall "WebDAV Publishing" feature.

  1. From the [Start] menu, select [Server Manager] > [IIS].
  2. There is "Roles and Features" list on the bottom of this page, select "WebDAV Publishing" and delete.

  After performing WebDAV connection in Mac, if the password of the DocuShare user who is using the WebDAV connection, is changed, you will need to modify the WebDAV connection. When modifying, modify after deleting the Mac cache.

• LDAP connection

  To change the username of an external domain user to another username, synchronize the user property with the information on the LDAP Server from Synchronize page of Administration menu before login as the user by using the new username. Otherwise, a new user that has new username is created and the new user does not succeed to the existed user. If the new user is created, merge the accounts on Merge Accounts of Administration menu.

• Cookie

  When accessing DocuShare, a message requesting for agreement of use of Cookie by DocuShare will be displayed. If you agree to the use of Cookie by DocuShare, click [OK]. • Content Store Statistics

  The Last Directory column heading on the Content Store Statistics page (available to administrators) refers to the last directory upgraded and not to the last directory created.

• weblog

  When a weblog entry after upgrading to DocuShare 7 contains text copied from Microsoft Word, you may not be able to edit the entry. If that occurs, try editing the weblog entry using Firefox or copy and paste the text to a new weblog entry.

• Application Connector Implementation Guide

  If URL containing characters which cannot be used in URL such as multi-byte characters, you need to percent-encode the characters to change them into available characters in URL.

  The following is additional information on search order that is not provided in the Search arguments section of the guide.

  • All string type search properties are grouped together to form a string query expression. All integer type search properties are grouped together to form an integer query expression.
  • The string query expression is used to obtain an initial query result. The integer query expression is used to filter the initial query result to provide the final result.
  • When using the 'contains' operator to match part of a word, enclose the partial word with the asterisk character.
  • Usage of the 'or' operator in a query expression with a string and an integer is no longer supported.

4-2 Main Restrictions of Functions

• Administrator Interface

Custom property is not displayed in the [Display Sequence] page [7538] - After adding custom property, it is necessary to update the schema in order to save the new property to the database.

Deletion of account of user who owns many objects [14489] - If it is indicated that there are many user objects on the [Confirm Delete] page when deleting user account, do not select [Show All].

It is necessary to restart the server after changing the default language [21475] - You must restart the DocuShare server to reflect the setting value when you have changed the default language on the [Installed Languages] page.

• Archive Server

New user cannot search for content for the archive server [18173] - If a new user is about to search for a content in the archive server, an error may occur. This is due to the time needed before the new account information is updated in the archive server. Try to search again.

• Content rule

Use of the [Inherit permissions] menu [25287] - Use the new content rule action [Inherit permissions] only for objects in a single container (collection, discussion, etc.).

• Conversion Service

Some documents cannot be converted to HTML - Among documents with formats that support HTML display, some may not be displayed completely and some may have errors. There is a limit to files that can be handled by HTML as the DocuShare HTML display function (based on the Autonomy KeyView software) does not support some functions and special files.

Displaying thumbnails of JPEG and CMYK files [67182] - Thumbnails of JPEG and CMYK files will not display properly.

• Approving and Routing Document

Loading and saving routing tasks takes a few minutes [24041] - Routing may take a few minutes to load/save if the routing task is allocated to a large number of recipients.

Routing for the review and permission assignment [56754] - When you route a document for the review to a group with the write permission for the document, DocuShare assigns the group the read permission. This is same for the case when a member of the group is a member of a DocuShare group with the read permission (for example, all other users than read-only users).

• Manual

Controlling the access rights to the space [20826:0001319] - The access to the space is controlled by the space membership and the access right. Additionally the access right to an object in the space is controlled by the access right for the object.

Note regarding the missing partition in the "Content Store Statistics" section in the DocuShare Administrator Guide [24202] - In the [Partition] table in the [Content Store Statistics] page, the partition path, current target directory, directory size, directory usage and other information is displayed.

• Installation and Upgrade

Setting of [Enable Thumbnails] is not upgraded from release 6.1.2 [20546:0003405] - After upgrading, navigate to [Administration Menu] > [Site Management] > [Site Configuration] to select an appropriate setting for [Enable Thumbnails].

• Creation of Search or Index

Custom objects are searched in addition to objects [20370] - If you search for the custom property of an object, the cloned custom object in addition to the object itself may also be searched. Custom object is searched because the custom object owns the property of the original object class. You can limit your search to only objects by selecting the object type at the [Object Types to Search].

By searching for object class name, more documents than expected are detected [20873:0001332] - If you search object class name by [Any Part], DocuShare will search more documents than expected because there are handle properties with object class name in the property value of the object.

By searching for object handle, an object other than the specified object is displayed [21283] - If you use a collection handle (or other types of handle for the container) to execute a search, the result other than the collection will be displayed. The object in the collection will also be displayed.

Some document indexes are not created - Due to the index creation, some or all parts of the text cannot be extracted from the document. The autonomy text extraction library that is used in the indexing of file contents, supports multiple file formats but experiences problems with special files.

• Web Interface

Change display period at the Change History page [22685] - The start date and end date can be specified at the Change History page. Changes are displayed in reverse chronological order (latest to oldest). Paging is not provided even if there are more changes than the specified display number.

Permissions required to display a document [23008] - In order for a user to be able to display the contents of a document, the user must have permission to read properties and contents.

Recommended number of groups for a single user [25148] - If creating a site group, do not assign over 250 groups to a single user. This includes workspace membership groups and groups within groups (nested groups). Not doing so will cause the site to not operate optimally.

4-3 Other Restrictions of Functions

The following are restrictions on DocuShare functions.

• Web Browser Settings

  If JavaScript is disabled, the DocuShare menus such as [Content Map], [Format Settings Editor], [Administration Menu] and [More actions...] as well as functions such as [Content Rule] and [Route], or the [Clear] button displayed on the list display page of collection cannot be used.   If [ActiveX controls and plug-ins] is disabled in the security settings of Internet Explorer, an error will occur when registering a document. Documents can be registered but property values entered using the WYSIWYG function will not be reflected. (0004533)

• Web Browser Display

  If you select " " (blank space) in the list box, the operation may not be correct. (0000223)

  As deleting the collection is processed in the background, the target object is displayed and the contents can be accessed until the processing is executed. (0003510)

  When you delete a collection, the deleted collection information may remain in the cache for the location information of the object with the collection for the location. In this case, system error will be displayed in the location page display. Operate the object or log out to clear the cache. (0003948)

  If a DocuWorks document is displayed using Internet Explorer 64-bit, displaying and editing using DocuWorks Viewer Control within the browser is not possible. (0005479)

  The DocuWorks Viewer menu on the right may not be displayed if [Display Document and Properties] is performed on the DocuWorks document. In that case, display the DocuWorks Viewer menu by opening the document from the document title link instead of from [Display Document and Properties]. (0013558)

  If documents containing multi-byte characters in the file name are browsed using Microsoft Edge, the file name which is displayed on the browser tab may be garbled. (0014151)

  When viewing pages using Safari, some part of pages might get black. In that case, refresh the page. (0014381)

• WYSIWYG

  For properties with WYSIWYG functionality, if text with HTML tags are copy and pasted while WYSIWYG is enabled, property information may not be properly added or deleted when the [Apply] button is clicked. If text with HTML tag is input, remove the check for WYSIWYG. To use WYSIWYG, do not insert text that includes HTML tags. (0004242)

  When disabling [wysiwyg] in the [Description] property and entering characters, line breaks may be ignored or converted to spaces depending on the browser that is used. (0006105)

  Anchor feature cannot be used with Wiki's WYSIWYG editor. (0014879)

• Operating Numerous Objects

  If a document has many versions, the [Version History] page may not be displayed. (0000711)

  If you create a required custom property with a default value and can be searched for an object class with numerous objects created, "OutofMemory" error may occur and you may not be able to log in. (0002430)

  If you merge a user account holding numerous documents, the web browser 13624will time out. Restart the browser as the processing is being carried out normally. (0004124)

  If a group with numerous object permission registrations is deleted on the browser, a timeout may occur on the browser. Even if a timeout occurs on the browser, the group is deleted on the server. (0004095)

  If trashcan has many objects, it may not be displayed all objects in it. (0010682)

  When the display sequence of 2 or more object classes is changed at the same time, the properties on the object registration screen get displayed in duplicates and the registration operation fails. To void this problem, make changes to the display sequence one at a time.（0014629）

  When performing batch updates on multiple object display sequences, some sequences are not correctly updated. Update object display sequences individually. (0015257)

• Administration Settings

  External groups on the [Administration Menu] > [Account Management] > [LDAP Accounts] > [Add] page cannot be created when [Enable Automatic Group Removal] is checked on the [Administration Menu] > [Account Management] > [LDAP Accounts] > [Configuration] > [Advanced...] page. (0000776)

  If the [Enable User Access Control] filter is set on the [Administration Menu] > [Account Management] > [LDAP Accounts] > [Configuration] > [Advanced...] page, users that match the filter are restricted when logging in and cannot be added or synced as well. (0004996)

  If [Enable Automatic Group Creation] and [Enable Automatic Group Removal] are enabled on the [Administration Menu] > [Account Management] > [LDAP Accounts] > [Configuration] > [Advanced...] page, [Enable Automatic Group Creation] and [Enable Automatic Group Removal] will operate even if [Enable On Login] is disabled.   If [Site Access Authority] is set to any options other than [Guest] on the [Administration Menu] > [Site Management] > [Access Policies] page, and login is done on the login page displayed by carrying out a search from the simple search input area on the login screen, an invalid error message is displayed without login. • Users

  If [Contributor] is set to [Yes] on the [Add User] page, an invalid error message is displayed. (0000570)

  When an owned object is set to be displayed on the User property page by [Administration Menu] > [Object Properties] > [User] > [User Display Sequence], error may occur at the [View Properties] page of users with a great number of owned objects. (0000584)

  Though an error log such as "ERROR - getAllInfo: No object found for Document-***" is recorded in the IndexServer.log when merging the account, this does not cause any problem for the system. (0004127)

  When merging a user into another user, if numerous objects from the permission list for which the user to be merged exists, the merging operation may not be executed. In this case, use the [replaceAllOwnedObjects] command, change the object owner, and perform the user merge.   Cannot set correct date from calendar chooser when you choose last or next month's day. (0010663)

• LDAP

  If the [Listener] function is enabled, the change of the deleted account will not be sent regardless of settings in [Subtree Search]. (0005247)

  For Microsoft Windows 2003/2008 Server Active Directory, the change of the deleted account will not be sent even if the [Listener] function is enabled. (0005248)

  If the LDAP DIT is changed, external groups cannot be used anymore. In addition, if it is changed, the group must be deleted and recreated. (0004669)

• Collections

  The changes in display order and view format of the collections may not be immediately reflected. (0000297)

  If a collection is restored, all objects included in the collection are restored. Objects deleted from the Recycle Bin are not restored. (0004116)

  When you restore a collection, if an object under this collection without admin permission is deleted the other user and it is in his trashcan, 'Not Authorized' error occurs and you cannot restore it. (0010757)

• About Documents

  If you use WebDAV connection from the Mac OS to upload new document, document of 0 KB will be uploaded initially but subsequently, the document will be added as a new version.   If a document is copied using a WebDAV connection from a Mac OS, an error may display and the copy operation may fail. (0005423)

• A Searchable PDF file cannot be imported properly using a scan cover sheet. An error will occur on Acrobat Reader if you try to open the file. (0000784)(0003566)

• If you set a content rule for the collection with a document for the descendant object, and execute the operations to cause the content rule for the collection, the execution target may not be the collection but the document for the descendant object. • The symbol "[" and "]" is handled differently depending on creating a search term or a search index. For example, when creating a search term for [JAN]List03, "]" is handled as a delimiter and the search terms "JAN" and "List03" are created while "]" is considered as a space character when creating a search index and the search index "JANList03" is created. • The search index for a number enclosed with "["and "]" cannot be searched as it is not created. (0003371)

• When the display is switched to the [Refine Search] page after you have searched a phrase by enclosing the character string with the double quotation marks ("") from the simple search screen, the searched character string is input in the character string field with the double quotation marks removed. • If a command is performed continuously 2000 times or more, an OutOfMemory error will occur and access to DocuShare may be blocked. In such a case, restart the system. (0004287)

• When the domain for the group and the domain for the user have the different ou (DN) while linking ActiveDirectory to LDAP in the LDAP link, always synchronize the group automatically. • The "verifyindex" command is added. The "verifyindex" command line utility creates an index for the objects in the database and confirm that the handles for the objects without the created index are displayed in a list. After executing the command, you can create an index for an object without the created index.

• The "dsserverMem" command is added. The "dsserverMem" command line utility displays the usage status of the JAVA memory for DSServer JVM (Java Virtual Machine). The command returns the following.
  maxMemory. The maximum memory capacity allocated to JVM by the operating system is displayed by byte.
  totalMemory. The total memory capacity required by JVM of the operating system is displayed by bytes. The capacity does not exceed maxMemory.
  freeMemory. The free memory capacity requested by JVM from the operating system is displayed by byte. This use quantity does not exceed totalMemory.
  mem in use. This is the balance between totalMemory and freeMemory (subtracting freeMemory from totalMemory).

• Emails sent from DocuShare do not show the mail addresses of other users / recipients.

Fixed the following problems.

• If you use Format Setting Editor in [Description], there is a possibility that objects cannot be searched [20397:0000987] - If you set the format of the [Description] property value using part of the [Format Setting Editor] function, objects cannot be searched by the [Description] property value.

• After enabling WebDAV titles, it is required to read them again [21067:0001566] - When setting [Enable WebDAV Titles] to [Yes] on the Administration Menu, the user must read the display again before accessing the automatically created folders (e.g. personal collection) by using WebDAV.

• If you set [Required] for [Approval Status] to [Yes] on the [Administration Menu] > [Object Properties] > [Weblog Entry] page, the [Approval Status] on the object creation page will be displayed in text format, not menu format. Also, you cannot use label name for input. You must input the ID name that is set on the Administration menu. (0000405)

• The [Spam Control] property of the Group does not work for the [Related Collection] of the Group. You have to set the [Spam Control] of the Collection at the [Spam Control] property on the [Collection] page. (0001126)

• DocuShare 6.5 does not provide the [Attachments Only] property in workspace, which was provided in DocuShare 6.1.2. (0001164)

• When you create a custom object, after you have successfully created the custom object, edit it in the [Update Properties]. You cannot edit the custom object before updating the properties. (0001762)

• If you lock the document, only [New Document Version added] cannot be done. It is possible to route or change the properties of a locked document. (0000322)

• When you have uploaded document whose title includes character strings with the "&" character and an alphanumeric character following one after the other (e.g. Q&A.doc), an error will occur if you try to output the history that includes the access history of this document, and you will not be able to display the document. • When the [New Document Version added] is set in the [Suppress Notification Messages] under the User property, only [New Document Version added] events will not be notified. You will be notified of events that occurred under the updating of properties when uploading a new version. (0001128)

• If [Subject] or [Comment] of route messages are entered in long character string at the Routing Slip settings page 1, the emails may not be delivered. (0001925)

• A content rule created with [Execution Timing] set as [Route] cannot be reused when edited. Edited content rules do not work. (0000596)

• When you select [Something added] for [Event Triggers] at Content Rule, the trigger will occur even when deleting objects. (0001052)

• Objects directly below the top-level collection of the space cannot be archived. (0001107)

• Wildcard can only work correctly with alphanumeric characters. (0001357)

• [contains] and [not contains] are the two operators supported in the search of string format and text format properties. If other operators like [equals] and [not equals] are used, search will be performed to read [contains] and [not contains] respectively. (0001026)

• From DocuShare 6.1.2 to DocuShare 6.5, the specification of the symbols that you can use in search has been changed. The main changes are as follows. With the specification change, the SavedQuery created in DS 6.1 may not work in DS 6.5. (0001701)
  • With regards to how to use the logical operator in the text field, in DocuShare 6.1.2, it was stated to add space before and after the logical operator, while in DocuShare 6.5 it has been changed to add "+" sign before and after the logical operator.
  • The "+ / - " signs are used in DocuShare 6.1.2 to add or delete search terms in the searched character string, while in DocuShare 6.5, the "+" sign is used for describing of operators, and the use of the "-" sign is not provided.
  • The operators provided for the text field in DocuShare 6.1.2 are "And" / "or" / "Accrue" / "And Not", while in DocuShare 6.5, "Accrue" has been removed, and only "And" / "or" / "And Not" are provided.
  • With regards to the use of single quotation mark, in DocuShare 6.1.2, you can search object with non-alphanumeric characters or object with non-alphanumeric and wildcard characters (* and ?), but in DocuShare 6.5, the search method using single quotation mark is not provided.

• Part or all of the message may be displayed in English. (0000420)

• When deleting / restoring numerous objects, an error such as "Out of Memory" may occur and the processing may be interrupted. To delete a user holding numerous objects is the same as to delete all objects held by that user. (0000264)(0001984)(0002432)

• If you carry out batch processing for upload / access permission, change of owner, delete on numerous objects, you may not be able to log in. (0000178)

• If you change the owners of numerous objects all at the same time, "Out Of Memory" may occur and the processing may be interrupted.
